O365 - Send Encrypted email

Encryption is a way of scrambling data so that only authorized parties can understand the information. In simpler terms, encryption takes readable data and alters it so that it appears random.

All emails sent from @cvtc.edu are automatically filtered for PII, HIPPA, PCI, and Gramm-Leach-Bliley. These built-in filters look for SSN, tax ID, bank account numbers, and driver's license. If a match is found, the message will automatically encrypt and a notification will automatically be sent to the Registrar.

Outlook

  1. Start a new email.
  2. Under Options click Permission > Encrypt-Only.

  1. You will see the Encrypt-Only message above the To: line.
    • You can also Request a Delivery Receipt and/or Request a Read Receipt.

Mobile Device

  1. Start a new email.
  2. Type encrypt, somewhere in the subject line.
    Compose message, click Send.

Receiver

  1. The receiver will see a red circle with a dash on the encrypted email.
