Teams Calls - Voicemail

Overview

Teams Calls voicemail is a feature of Microsoft Teams that enables users to receive and manage voicemail messages within Teams. When a user is unavailable or does not answer a call, the caller has the option to leave a voicemail message that is then stored within Teams. Users can access their voicemail messages in several ways, including through the Teams desktop or mobile app, or by accessing their voicemail through a phone call.

Teams Calls voicemail also offers several customization options, allowing users to record a personalized voicemail greeting and set up notification preferences for when new messages are received.

Audience

Anyone using Microsoft Teams can place calls to others within CVTC using Chat. Employees with a phone number can also place external calls.

Teams Calls Settings

Voicemail can be configured from the Calls settings screen within Teams.

  1. Click the meatball menu (1) then Settings (2).

     
  2. Click the Calls menu option.

     
  3. Click the Configure voicemail button.

Greeting Options

Teams Calls lets you record a voicemail greeting or type a message that is read by a text-to-speech voice. If a greeting is recorded, any text-to-speech greetings is not used.

Two greetings can be used, one is a personal greeting and the second is an out of office greeting.

Record a greeting

  1. Click the Record a greeting button.

     
  2. An outgoing call will be placed to the voicemail system. Listen to the prompts and use the keypad (1) to navigate through the menu. Record a personal greeting and an out of office greeting using your microphone or headset (2).
    Note: If the keypad is closed use the button to show the numbers again (3).

    Voicemail Recording Greeting:

    Main menu

    To change your personal greeting press 2.

    To play and record your personal greeting press 1

    You have not recorded a personal greeting. To record your greeting press 1. To cancel press the star key.

    Please record your greeting after the tone. When you have finished recording press the pound key.

    This is your current personal greeting. To accept press 1. To re-record press 2. To delete and use the default greeting press 3. To cancel press the star key. To repeat this menu press 0.

    To play and record your greeting for when you are away press 2. To exit press the star key.

    You haven't recorded a greeting for when you are on vacation, out of the office, or away. To record your greeting press 1. To cancel press the star key.

    Please record your greeting after the tone. When you have finished recording press the pound key.

    This is your current greeting that lets people know you are away. To accept press 1. To re-record press 2. To delete and use the default greeting press 3. To cancel press the star key. To repeat this menu press 0.

  3. After the recordings are saved press the star key or click the Leave button from the call window.

Text-to-speech

  1. Type the personal greeting (1) and out of office greeting (3) that will be read when a caller reaches your voicemail.
    Click the OK button (3) to save the changes.
    Note: If you recorded a greeting then the text-to-speech will not be used, only your recorded greeting.

Call answer rules

This set of rules apply after the message is sent to the voicemail system. These rules can be used in conjunction with the Call answering rules from the Calls setting menu (Teams Calls - Call Answering Rules).

  1. Click the drop-down under Call answer rules (1).
    After selecting the rule, click the OK button (2) to save your changes.
    • Let the caller record a message - default
    • Let the caller record a message or be transferred to someone else - type to search for a name from the system directory.
    • End the call without playing your greeting
    • Play your greeting and end the call
    • Transfer the call to someone else - type to search for a name from the system directory.

Out of office greeting

If you have recorded or typed a custom out of office greeting, Teams Calls can automatically use this greeting when an Outlook auto reply is set or for an Out of office calendar event.

  1. Check the box in front of All the time (1) or one or both of the other options When I have an Outlook auto reply and When I have an Out of office calendar event (2).
    Click the OK button (3).
