Frequently Asked Printing Questions

Q: What changes are being made to printers in the BEC Lower Level?
A: By mid-Fall 2024 semester, we will remove all departmental printers on the BEC Lower Level and retain only three multifunction printers (MFPs). These MFPs have been relocated to common areas for easy access. The old printers will be responsibly disposed of through auction or sold at the CVTC Technology Surplus Store.

Q: My department needs to have a designated printer?
A: We recognize that flexibility is key and will consider exceptions as needed. The Sustainability Committee will review all printer requests when the time comes. At the moment, our priority is to address areas with lower traffic to ensure we have everything running smoothly before expanding to more heavily used areas.

Q: Where can we obtain office supplies such as staplers, paper clips, and hole punches?
A: Departments will still be responsible for purchasing their own office supplies. We recommend keeping the area previously occupied by the printer as a dedicated workspace, stocked with these supplies for easy access and for laying out work.

Q: Is it true that scanning to email and printing cost the same?
A: Yes, the cost to CVTC is the same for scanning to email, copying, or printing. To minimize these costs, we recommend exploring electronic alternatives for retrieving documents, such as Adobe Sign, SharePoint forms, Cognos forms, Microsoft Forms, OneDrive Document Scanning, or Adobe Scan. If you need assistance or training on these alternative methods, please contact ED Tech by emailing EdTech@cvtc.edu
.

Q: Where will the new printers be located on the BEC Lower Level?
A: The new printer locations are:

  • Between BEC 004 and 005
  • Between BEC 022 and 023
  • Between BEC 030A and 030B

Q: What can we expect in Phases II and III?
A: Phase II, to be completed by mid-Spring 2025 semester, and Phase III, by mid-Fall 2025 semester. We will continue the transition of printing services in other areas. Specific details will be provided as we approach the implementation dates.

Q: How does Follow Me Print work?
A: Follow Me Print allows secure print release, ensuring sensitive documents are only printed when you're present to collect them. You can print from any printer on campus, and print jobs will expire after 24 hours if not released.

Q: How do I print large jobs?
A: For printing larger jobs—such as business cards, class materials, workbooks, mailings, postcards, campus flyers, stickers, or labels—please use DigiCopy instead of the local CVTC printers. You can find the DigiCopy link in the Employee Commons under Info & Services, or log in directly [here]. Be sure to plan ahead to receive your printed materials on time.

Q: I do a lot of printing from Banner, so I need a printer in my office.
A: We’re currently re-evaluating our process to explore possible alternatives. In the meantime, we’ll consider your request, and a smaller printer may be placed in your area until a more permanent solution is found.

Q: How do I install Mobility Print on my personal computer or iPhone/iPad?
A: For instructions on installing Mobility Print, please follow these steps:

  1. Connect your device to cvtc-wifi.
  2. Navigate to Mobility Print Setup.
  3. Download the appropriate software for your operating system.
  4. Follow the on-screen prompts to complete the installation.

For more detailed instructions please visit our Printing Home page.

Q: What should I do if I encounter printer issues like jams or low ink/toner?
A: For any CVTC printer issues, please contact EO Johnson at 1-844-342-5365. Make sure you have the printer name ready for reference when calling.

Q: What do I do if a printer is out of paper?
A: If a printer is out of paper:

  1. Check if there’s a nearby supply of paper. Usually, paper is stored in the same area as the printers.
  2. If you can’t locate any paper, contact the Service Desk or the Facilities team, and they will replenish the supply.
  3. Avoid using paper from other areas, as this could lead to shortages in other departments.

How do I set up a secure print release for sensitive documents?
A: For sensitive documents, use the "Follow Me Print" feature:

  1. Select either BW_FollowMe or COLOR_FollowMe from the printer menu.
  2. When ready to print, log in at the printer using your CVTC ID, and select the document you wish to release.
  3. This ensures that your document will not print until you’re physically at the printer to collect it.

Q: Can I print from my mobile device?
A: Yes, you can print directly from your mobile device:

  1. Install the Mobility Print app on your iPhone or Android device.
  2. Connect to the cvtc-wifi network.
  3. Select the document or photo you want to print, and choose a CVTC printer.
  4. Use your CVTC credentials to authorize the print job.

For more detailed instructions please visit our Printing Home page.

Q: What if I accidentally leave a print job in the queue?
A: If you forget to release a print job, it will automatically be deleted after 24 hours to prevent unnecessary printing. You will not be charged for jobs that are not printed.

Q: Are there any printing limits or quotas?
A: Students, faculty, and staff are allocated a specific printing quota each semester. If you exceed your quota, additional prints will be charged at the standard rate and deducted from your CVTC account.

Q: How can I print on both sides of the paper?
A: To print on both sides (duplex printing):

  1. In the print settings of your document, select the "Duplex" or "Double-Sided" option.
  2. Choose the appropriate printer, and ensure that it supports duplex printing.
  3. Submit the job as usual. The printer will handle the rest.

Duplex printing helps reduce paper usage and is part of our sustainability initiative.

Q:Can I print on specialized paper, such as cardstock or labels?
A: Yes, but with caution:

  1. Use the manual feed tray for specialized paper to avoid jams.
  2. Verify that the printer you are using supports the specific type of paper.
  3. Adjust the print settings in your document to reflect the paper type (e.g., cardstock, labels).
